Terms and Conditions for The Solution Space

Welcome to The Solution Space (“we,” “us,” or “our”), a psychotherapy practice located in Lafayette, Colorado, providing evidence-based mental health services. These Terms and Conditions (“Terms”) govern your use of our website, services, and related materials. By accessing our site or engaging our services, you agree to these Terms. If you do not agree, please do not use our site or services.

1. Acceptance of Services

Our services are not for crisis intervention. If you are experiencing a mental health emergency or thoughts of harming yourself or others, please immediately call 911 or the 988 Suicide & Crisis Lifeline.

Our services include individual, couples, children’s therapy, ADHD assessments, online therapy for new moms, anxiety reduction programs, and chronic pain therapy, delivered by licensed or pre-licensed therapists under Dr. Sonja Hellman’s supervision. All services are provided in-person or virtually, in compliance with Colorado state laws and professional standards.

Services are not suitable for emergencies. If you are in crisis, contact the National Suicide Prevention Lifeline at 988 or seek immediate medical help. We reserve the right to refuse or terminate services if we determine they are inappropriate for your needs.

2. HIPAA and Privacy

As a HIPAA-covered entity, we are committed to protecting your Protected Health Information (PHI). Our privacy practices are outlined in our Notice of Privacy Practices (NPP), provided at intake. Key points:

  • Psychotherapy Notes: These are kept separate from your medical record and require your explicit written authorization for disclosure, except in limited cases (e.g., legal requirements).
  • Uses and Disclosures: PHI may be used or disclosed for Treatment, Payment, and Health Care Operations (TPO) without authorization. Other disclosures require your signed consent.
  • Minors and Guardians: For clients under 18, we may share relevant PHI with guardians unless it risks harm. Colorado law allows minors 12+ to consent to certain mental health services confidentially.
  • Breach Notification: If a breach occurs, we will notify you as required by law.

We use secure, encrypted systems for communications and records. Review our full NPP for details.

3. Fees and Payment

  • Session Rates: Initial consultation: Free (15 minutes). Standard sessions: $150–$250 (50 minutes), varying by therapist and service.
  • Insurance: In-network with United Healthcare, Aetna, Medicaid and Medicare (under Dr. Hellman’s NPI). Copays and/or deductibles are due at time of service.
  • Payment Terms: Full payment due at time of service via credit card, HSA/FSA, or check. Late payments incur 1.5% monthly interest. No-show/cancellation fee: $100 if less than 24 hours’ notice.
  • Refunds: No refunds for completed sessions.
We submit claims to out of network insurance for you, but you are responsible for the fee. Your insurance will reimburse you if you have an out of network provision.

4. Cancellation and No-Show Policy

  • Cancel or reschedule with 24+ hours’ notice via portal, phone, or email.
  • Less than 24 hours: $100 fee.
  • Three no-shows: Services may be terminated.
  • For Medicaid clients, services may be terminated if there are 2 no-shows or late cancellations (not within 24 hours).

5. Website Use

  • Content: Information is for educational purposes only, not medical advice. Consult a provider for personalized guidance.
  • Intellectual Property: All content (text, images, logos) is owned by The Solution Space. Use without permission is prohibited.
  • User Contributions: Blog comments or forms must comply with laws; we moderate and may remove offensive content.
  • Links: External links are for convenience; we are not responsible for third-party content.
  • Cookies/Tracking: We use cookies for analytics (Google Analytics). Opt-out via browser settings. See Privacy Policy for details.

6. Liability and Disclaimers

Services are provided “as is.” We make no warranties regarding outcomes. Therapy results vary; we cannot guarantee improvement. In no event shall we be liable for indirect, consequential, or punitive damages.

You agree to indemnify us against claims arising from your misuse of the site or services.

7. Termination

We may terminate services for non-payment, disruptive behavior, or ethical reasons. You may terminate at any time.  We recommend a termination session to wrap-up and help make plans for your next steps.

8. Governing Law

These Terms are governed by Colorado law. Disputes shall be resolved in Boulder County courts.

9. Changes to Terms

We may update these Terms; continued use constitutes acceptance. Check periodically.
